Managing Team Members in Recooty

This guide provides a step-by-step process to manage team members efficiently.

Roles and Privileges

  1. Owner: Full access (only one owner per account).

  2. Admin: Can perform all actions, including viewing billing.

  3. Recruiting Admin: Can perform all actions except billing.

  4. Hiring Manager: Can create job roles and manage jobs they are assigned to.

  5. Standard Member: Can only view assigned applications or candidates as interviewers.

Accessing Team Members Section

Dashboard > Profile > Team Members.

Here, you can manage team members, view their roles, and customize access.

Adding, Changing, and Removing Team Members

1. Add a New Team Member

  • Click on Add a Member.

  • Enter the email address of the person you want to invite.

  • Select a role from the following options:

    • Admin

    • Recruiting Admin

    • Hiring Manager

    • Standard Member

  • Click Invite.

  • The new member will receive an email invitation to join and create their account.

💡 Pending Invitations: If they haven’t accepted the invite yet, their invite will appear under Pending Invitations. You can cancel the invitation if needed.

2. Change a Member’s Role

  1. Locate the team member listed in the Team Members section.

  2. Click on Change Role next to their name.

  3. Choose a new role (e.g., switch from Standard Member to Hiring Manager).

  4. The team member’s access will be updated immediately.

3. Remove a Team Member

  1. Locate the member in the Team Members section.

  2. Click on Remove next to their name.

  3. Confirm the removal to complete the process.

💡 Note:

  • Admins can add/remove Recruiting Admins, Hiring Managers, and Standard Members.

  • Recruiting Admins can add/remove Hiring Managers and Standard Members.

  • Hiring Managers and Standard Members cannot add, edit, or delete any team members.

Assigning or Adjusting Job Access

Admin/Recruiting Admin Universal Access

Admins and Recruiting Admins have automatic access to all features including job roles created by themselves or others. They can view, edit, and manage any job.

Hiring Managers and Standard Members Access

  • Hiring Managers and Standard Members can see the job names on the dashboard but cannot open them; access will remain locked for them.

  • If a Hiring Manager creates a job, they will have complete access to that job.

Assigning Access to Hiring Managers

If a Hiring Manager needs access to a job role:

  • Go to the Jobs section and select the specific job role.

  • Click on the three dots in the upper-right corner and choose Manage User Access.

  • Click Add Hiring Manager.

  • Select the Hiring Manager from the dropdown list.

  • Assign privileges:

    • View & Edit.

    • View Only.

  • Click Save.

💡 Note: You can later edit their privileges or remove them from the job role if needed.

Standard Member Restrictions

  • Standard Members cannot view job details or roles unless assigned as interviewers.

  • If assigned as an interviewer for a specific candidate, they can view only that candidate’s application and give feedback for the interview.

Leaving the Team

If you are the account owner or team member:

  1. Go to Dashboard> Profile>Team Members section.

  2. Click on Leave Team if you want to remove yourself from the team.

Recooty’s team management system ensures proper roles and permissions while allowing the recruitment process to run smoothly. Understanding team member roles and adjusting their access ensures a more organized hiring workflow.
